II/ Key job tasks of receptionist

1. Information system

• Receive, direct and relay telephone messages and fax messages.
• Pick up and deliver the mail.
• Open and date stamp all general correspondence.
• Record and handle all incoming and outgoing couriers.

2. Visitors management

• Welcome visitors and guests and direct appropriately.
• Arranging maintenance visits and logging the duration thereof.

3. Records system

• Maintain the general filing system and file all correspondence.

4. Meetings

• Assist in the planning and preparation of meetings, conferences and conference
telephone calls.
• Make preparations for meetings.

5. Office instruments

• Maintain an adequate inventory of office supplies.
• Monitor the use of supplies and equipment.
• Coordinate the repair and maintenance of office equipment.

6. Secretary tasks

• Respond to public inquiries
• Provide word-processing and secretarial support.

7. Water, cafe

• Order stock of coffee, tea and sugar from xxxxxxx
• Ordering of fruit weekly from xxxxxxxxx

8. Office hygiene

• Responsible for daily cleaning and general maintenance of the coffee machine.
• Responsible for maintaining and improving the office recycling facilities.

9. Support the Executive Director and other staff

• Assist the Executive Director and other staff as requested.
• Provide administrative services for the Executive Director.

• Excellent at all aspects of English language, especially English speaking & listening skills is a must.
